How to Obtain Non-Academic Placement Clearance Requirements

If you are 18 years of age or older and require a Police Vulnerable Sector Check (VSC) as a requirement for obtaining your placement clearance, you can obtain your VSC from the region where you reside. 


Residents (permanent or temporary) of North Bay:

If you reside permanently in North Bay, or you are living in North Bay while you complete your studies, you can request your VSC from the North Bay Police. You may require a letter from the College to obtain your VSC. To request a letter, click here

For best service, apply for your VSC through the online application portal. This will allow you to keep track of the status of your application.


Residents of Toronto:

For students that live in Toronto (postal code that starts with ‘M’), you will request your VSC from the Toronto Police Service by navigating to the Toronto Police Service Vulnerable Sector Screening website and following instructions on how to apply: Police Record Checks- Toronto Police Service (tps.ca). You will be required to enter an Agency Code to process your application. To obtain Canadore College’s Agency Code, please complete this form and wait for a reply email from the Placement Office: Agency Code Request Form


Residents of Locales other than North Bay or Toronto:

You can request your VSC from the Police service that has jurisdiction in your place of residence. You may require a letter from the College to obtain your VSC. To request a letter, click here. If you live in a locale that is policed by OPP, you will request your VSC through their website: Ontario Provincial Police - Police Record Checks (opp.ca)

If you live in a locale that is policed by another service, contact that Police Service to inquire about obtaining your VSC.

For best service, apply for your VSC through the online application portal if one is available. This will allow you to keep track of the status of your application.

Under the Age of 18?

If you are under the age of 18 years, you are not able to obtain a VSC. Contact the Placement Coordinator to advise and learn about next steps for achieving your placement clearance.


Request a Letter for Obtaining your VSC

You may be required to obtain and show evidence of immunization requirements to be eligible for placement. If your program requires you to complete immunization requirements, download the Canadore Student Health Form or the Canadore Returning Student Health Form (whichever is relevant to you) from this page by navigating to your Program drop-down. Then, follow the steps outlined on the first page of the Form.

If you are not required by your program but are being asked by your placement host to show evidence of immunizations and require support, contact the Placement Office.

To receive service on campus for completing your Health Form requirements, book an appointment at the Immunization and Vaccination Clinic (IMMVAC) operated by Canadian Shield Health Care Services per instructions on your Health Form. The clinic is located in office D300 at Canadore’s College Drive Campus. Appointments are self-scheduled. Canadian Shield will process relevant fees (accepting cash, credit, or debit) and issue a receipt acceptable for student insurance requirements.

If Standard First Aid certification is a requirement to obtain your placement clearance, you must seek out a training provider, attend a course, and obtain your certification by successfully completing the course requirements. Your certification will remain valid for the period indicated on the certification card. You should ensure that your certification carries you through an entire academic year or risk being removed from your placement if your certification lapses. 


Standard First Aid service providers are widely available in most major cities.

If Cardiopulmonary Resuscitation (CPR) is a requirement to obtain your placement clearance, you must seek out a training provider, attend a course, and obtain your certification by successfully completing the course requirements. There are different levels of training for CPR. Ensure that you are enrolled in the appropriate minimum training level as required for your program. Note that your CPR course must be delivered in person (no online CPR certificates will be accepted).


CPR service providers are widely available in most major cities.


Note the validity requirement indicated in your Non-Academic Requirements package. Your certification may only be valid for one year regardless of the expiry date on the card. You should ensure that your certification carries you through an entire academic year or risk being removed from your placement if your certification lapses.

For a respirator such as an N95 mask to work properly, it must make a good seal against the user’s face. A “fit test” is used to determine whether a respirator is a good fit for the user or not. A properly fitting respirator will provide an adequate seal to prevent exposure to hazardous airborne particles that can lead to illness or disease. A fit test involves the use of specialized equipment to determine which mask type(s) fit the user’s face.


A proper seal against the face is required to ensure adequate protection. The best way to achieve a good seal is to have a clean-shaven face where the mask seals to the face. Contact your Placement Coordinator if you have any questions or concerns.  


Students are solely responsible for ensuring that this non-academic requirement is met by the clearance deadline in order to maintain eligibility to attend placement. Students are responsible for all costs associated with obtaining a mask fit test.

Please ensure you are fitted for 3M brand N95 masks (1870+, 1860, 1860s, 1804) as these are most commonly used by local agencies.


Dental Hygiene Program students ONLY: The College will arrange for this testing, and it is the student’s responsibility to attend the scheduled session and pay for the service or risk ineligibility for placement.


Respiratory Therapy Program students ONLY: Students will be fit tested as part of the onboarding for their placement(s).

WHMIS refers to the Workplace Hazardous Materials Information System and is Canada’s national workplace hazard communication standard for employee and workplace safety. The purpose of taking this training is to provide students with a base level of knowledge in order to protect themselves from hazards in the workplace.

Worker Health and Safety Awareness Training in Four Steps is a training program developed by the Ministry of Labour, Immigration, Training and Skills Development. It is focused on the health and safety rights and responsibilities of workers, supervisors and employers and is a general introduction to workplace health and safety.


If you require this training in fulfilment of your non-academic requirements, you can obtain this free training certificate by completing the modules found here: https://www.labour.gov.on.ca/english/hs/elearn/worker/foursteps.php


You will receive a "Proof of Completion" certificate once you complete the training. You must save and/or print the certificate before exiting the module. The Ministry of Labour, Immigration, Training and Skills Development will not store your certificate, or keep a record of training. Please keep a copy for your records.

Students that require a Flu Vaccine for maintaining eligibility for placement are required to obtain the vaccination once it is available in the Fall of each year. Since vaccinations are not available all year round, students can upload their vaccination status to Verified once it is obtained for no additional charge. For example, if your program requires you to complete your non-academic requirements by August 1, you must do so for all requirements except the Flu Vaccine, and in October or November when the vaccine is available, you will obtain the vaccination and upload proof by the posted deadline (e.g., December 1) at no cost for the Electronic Requirements Verification appointment  (provided you have obtained and are current with your clearance status).

For students that upload requirements to Verified:
If you obtain a COVID-19 booster dose after having completing your Electronic Verification Review through Verified by Synergy Gateway, you may upload the proof of booster vaccination for an Electronic Requirements Verification appointment at no cost (provided you have obtained and are current with your clearance status).

 

For students that upload requirements to iLearn:

If you obtain a COVID-19 booster dose after having submitted your Canadore Student Health Form to your Placement Coordinator, contact your Placement Coordinator by email for instructions on submitting proof of your booster dose.

If your program requires that you submit a Workplace Insurance for Unpaid Student Placement Declaration of Understanding form, you can obtain the form here.


The Government of Ontario, through the Ministry of Colleges and Universities, pays Workplace Safety and Insurance Board for the cost of benefits it pays to students enrolled in an Approved Program at Canadore College during unpaid work placements with employers who are either compulsorily covered or have voluntarily applied to have WSIB coverage.


The Ministry also covers the cost of private insurance with Chubb Insurance for students enrolled in an Approved Program at Canadore College during unpaid work placements with employers that are not required to have compulsory coverage under the Workplace Safety and Insurance Act. The Government of Ontario provides such coverage to encourage the participation of employers in providing unpaid work placements for students as part of Ontario publicly assisted postsecondary education and training programs.


If an Accident Occurs while on an Unpaid Placement:

If a Student Trainee has an accident while on an unpaid work placement while enrolled in an Approved Program, Canadore College will disclose personal information relating to the unpaid work placement and any WSIB claim or Chubb Insurance claim to the Ministry.

Students are eligible to make a claim for benefits in the event of an accident incurred while in an eligible unpaid work placement.
